This Privacy Policy describes how Coach Academy (Canada Coach & Mentor Academy Inc.) collects, uses, discloses, and protects your personal information, including in connection with our SMS text message program.


1. Who We Are

Coach Academy (Canada Coach & Mentor Academy Inc.) is an Ontario Corporation operating under the trade names “Coach Academy,” “Canada Coach Academy,” and “USA Coach Academy.” We are committed to protecting the personal information of our students, website visitors, and all individuals who interact with our services.

This Privacy Policy explains how we collect, use, disclose, and protect your personal information in compliance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation.

2. Information We Collect

Information You Provide Directly

In connection with your enrollment and participation in our programs, Coach Academy collects the following personal information:

  • Full legal name, mailing address, email address, and telephone number (including mobile number)
  • Payment information (credit card details or e-transfer authorization)
  • Social Insurance Number (SIN) — voluntarily provided only, for the sole purpose of issuing eligible tuition tax receipts (e.g., T2202)
  • Coaching goals, program responses, and progress notes
  • Communications you send us directly

Information Collected Automatically

  • Device type, browser, and IP address
  • Pages visited, session duration, and referral source
  • Email open rates, click-through data, and SMS delivery status
  • Cookies and analytics data from website interactions

SMS Program Data

When you opt into our SMS program, we collect your mobile phone number and your consent status (opt-in date, method, and opt-out requests). This data is used solely to operate our SMS messaging program as described in this Policy.


3. Why We Collect It

Coach Academy collects personal information for the following purposes:

  • Administering your enrollment and participation in the program
  • Processing payments and managing your account
  • Communicating with you about scheduling, program updates, and account matters
  • Sending automated email and SMS communications you have opted into (see Sections 4 and 5)
  • Issuing certificates and tax receipts upon program completion
  • Complying with applicable legal and regulatory requirements
  • Enforcing the terms of your enrollment agreement
  • Improving our website, programs, and services

We collect only what is necessary for these identified purposes, by fair and lawful means.


4. Automated Email Communications

Coach Academy uses automated email systems to deliver timely and relevant communications. By providing your email address and agreeing to our terms, you consent to receive the following automated emails:

Transactional Emails (No Separate Opt-In Required)

  • Enrollment confirmations and payment receipts
  • Program access credentials and onboarding instructions
  • Scheduled class reminders and session follow-ups
  • Account security alerts and billing notifications
  • Certificate issuance and tax receipt delivery

Marketing & Promotional Emails (Opt-In Required)

With your explicit consent, we may send automated marketing emails including newsletters, new program announcements, special offers, re-engagement sequences, and event or webinar invitations.

You may unsubscribe from marketing emails at any time by clicking the “Unsubscribe” link in any marketing email or by contacting us directly. Unsubscribing from marketing emails will not affect transactional communications required to deliver your enrolled program.

Email Tracking

Our email system may use tracking pixels and unique links to record whether an email was opened and whether links were clicked. This data helps us improve the relevance of our communications. You may disable tracking by turning off image loading in your email client.


5. SMS / Text Message Communications

Coach Academy operates an SMS messaging program to communicate with enrolled students and prospective students. By providing your mobile number and opting in, you consent to receive text messages as described below. Message and data rates may apply. Message frequency varies.

Types of SMS Messages

  • Transactional SMS: Appointment reminders, enrollment confirmations, payment alerts, program access updates, and account notices.
  • Marketing SMS: Promotional offers, program launches, and event reminders — sent only with your prior express written consent. Consent is not a condition of purchase.

How We Obtain Consent

We obtain your explicit written consent before sending any marketing SMS messages. Consent is collected via a clearly labeled opt-in checkbox on our web forms or enrollment agreements. The opt-in form displays the following disclosure:

“I agree to receive recurring automated marketing text messages from Coach Academy at the phone number provided. Msg & data rates may apply. Msg frequency varies. Reply HELP for help and STOP to cancel. Consent is not a condition of purchase.”

Opt-Out Instructions

You may opt out of SMS messages at any time:

  • Reply STOP to any SMS from us. You will receive a final confirmation message and no further marketing texts will be sent.
  • Reply START to re-subscribe at any time.

SMS Data — No Selling or Sharing

We do not sell or share your mobile phone number, SMS opt-in consent, or any SMS message data with third parties or affiliates for their own marketing or promotional purposes. We may share this information only with our SMS service providers (e.g., carriers and messaging platforms) solely to deliver messages on our behalf. All such providers are prohibited from using your data for any other purpose.

CASL & TCPA Compliance

Our SMS and email communications comply with Canada’s Anti-Spam Legislation (CASL) and, where applicable, the U.S. Telephone Consumer Protection Act (TCPA) and CTIA Messaging Principles. We obtain verifiable consent before sending automated marketing messages and honour all opt-out requests promptly.

  3. To cancel: Reply STOP. We will confirm your unsubscribe via SMS. No further messages will be sent.

6. Consent & Opt-Out Rights

By signing the Student Enrollment Agreement, the Student consents to the collection, use, and disclosure of their personal information for the purposes described in this Policy. You may withdraw consent at any time by providing written notice to Coach Academy, understanding that withdrawal may affect our ability to continue providing the program or administering your agreement.

  • Email opt-out: Click “Unsubscribe” in any marketing email or contact us directly.
  • SMS opt-out: Reply STOP to any SMS from us.
  • General withdrawal: Contact us in writing; we will update your preferences within 10 business days.

Opting out of marketing communications will not affect service-critical notifications related to your active enrollment.


7. Limiting Collection

Coach Academy will collect only the personal information necessary for the purposes identified in this Policy and will collect such information by fair and lawful means. We do not collect personal information indiscriminately or for purposes other than those identified above.

Your Social Insurance Number (SIN), if voluntarily provided, is collected solely for the purpose of issuing eligible tuition tax receipts and is stored separately with restricted access.


8. Storage & Security

Coach Academy stores personal information using commercially reasonable administrative, technical, and physical safeguards designed to protect against unauthorized access, disclosure, alteration, or destruction, including SSL/TLS encryption, access controls, and regular security reviews.

All personal information collected under enrollment agreements is processed, stored, and maintained in Canada and is subject to Canadian federal and provincial laws, including PIPEDA.


9. Disclosure & Third Parties

Coach Academy will not sell, trade, or rent your personal information. We may disclose personal information only to:

  • Authorized employees and contractors of Coach Academy who require access to perform their duties
  • Third-party payment processors for processing authorized transactions (e.g., Stripe, PayPal)
  • Email marketing and SMS platforms used to deliver communications you have opted into (e.g., ActiveCampaign, SalesMessage) — solely to operate those programs
  • Website analytics providers (e.g., Google Analytics) under data processing agreements
  • Professional advisors (legal, accounting) in connection with administering this agreement
  • Regulatory or government authorities where required by law, court order, or valid legal process
  • Collection agencies in the event of default under an enrollment agreement, limited to information reasonably necessary for collection purposes

SMS opt-in data, mobile phone numbers, and SMS consent information will not be sold, rented, or shared with any third parties or affiliates for their own marketing or promotional purposes. This data is shared only with our SMS service providers for the sole purpose of delivering your requested messages.

All third-party service providers are bound by confidentiality obligations and are prohibited from using your personal information for any purpose other than the services they perform for Coach Academy.


10. Cross-Border Notice (International Students)

All personal information collected under enrollment agreements will be processed, stored, and maintained in Canada and subject to Canadian federal and provincial laws, including PIPEDA. Personal information held in Canada may be accessible to Canadian law enforcement and government authorities pursuant to lawful Canadian legal processes.

International students are encouraged to review the implications of cross-border data transfer under the laws of their home jurisdiction before signing an enrollment agreement.


11. Data Retention & Deletion

Personal information is retained only for as long as necessary to fulfill the purposes for which it was collected, or as required by applicable law, and is securely destroyed thereafter. Specifically:

  • Enrollment and payment records are retained for a minimum of seven (7) years to comply with tax and accounting obligations
  • Communication preferences and opt-out records are retained indefinitely to honour your choices
  • SIN data, if provided, is retained only for the period required to issue and support the relevant tax receipt
  • SMS opt-in and consent records are retained for the duration of your subscription and as required by applicable law

You may request deletion of your personal data at any time by contacting us at privacy@coachacademy.com. We will process deletion requests within 30 days, except where retention is required by law.


12. Your Rights — Access & Correction

Under PIPEDA, you have the right to request access to your personal information held by Coach Academy and to request corrections to any inaccurate or incomplete information. Requests should be directed in writing to Coach Academy at the address below. Coach Academy will respond to access and correction requests within 30 days.

You may also request deletion of your personal data where we are not legally required to retain it, or object to processing for marketing purposes at any time.


13. Children’s Privacy

Our Services are intended for individuals aged 18 and over. We do not knowingly collect personal information from individuals under 18. If you believe we have inadvertently collected data from a minor, please contact us immediately and we will delete it promptly.


14. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. When we make material changes, we will notify enrolled students by email and post the updated Policy on this page with a revised “Last Updated” date. Continued use of our Services after the effective date constitutes acceptance of the revised Policy.


15. Complaints & Contact

If you have concerns about Coach Academy’s handling of your personal information, please contact us in writing. We will investigate and respond promptly. If the matter is not resolved to your satisfaction, you may file a complaint with the Office of the Privacy Commissioner of Canada at www.priv.gc.ca.
